Terms and condition

The Terms and Conditions below govern the relationship between you and BestIndochinaTour.net. Please carefully read these terms and conditions, and make sure you understand and accept our Terms and Conditions before you travel with us.

1. Reservation
- All reservations must be made in writing via our official website or to our email addresses.
- All reservation requests will be handled /replied within 24 hours. We will inform you in case we are unable to process your requests due to a specific reason.

Reservation will be made when you agree with the provided tailor-made itinerary, the quotation and detail of services included. Operation team of BestIndochinaTour.net will start reservation, basing on the final tour itinerary that you agreed with us.

When reservation is made, BOOKING CONFIRMATION and INVOICE will be sent to your registered email by your travel consultant. A deposit of 30% (thirty percent) of the total payment of the tour will be required to be paid to BestIndochinaTour.net within 15 days from the issued date of invoice.

In case of any unavailability of hotels, flights, etc. we will provide recommended alternative options at equal value. In peak tourist season, we must reserve the right to directly book the alternative options before informing the customer in order to keep availability for the tour.

2. Payment
Payment can be made by PayPal, wire transfer (bank transfer), Western Union and cash. Except cash payment, a service charge (by your bank) or processing charge may apply.

A detail payment instruction will be sent to you via email by your travel consultant. Payment will be required to pay as following:

•    Deposit: 30% of the total sum of your tour is required to be paid within 15 days from invoice issue date.
•    Balance: 70% of the total sum of your tour is required to be paid in 30 days prior to tour arrival date. (In case you would like to pay some amount upon arrival by cash or credit card, please discuss directly with your travel consultant to guarantee it).

A detailed payment guide will be sent to you via email by your travel consultant. If full payment is not settled by bank before your arrival, unless agreed upon earlier in email, we reserve the right to cancel the reservation.

•    Bank Surcharge: Charges for bank transfers, Paypal processing fees, and other monetary transfer or processing fees may apply and will be stated clearly on the invoice after the payment type is chosen.
•    Currency: Tours are quoted in US Dollars. End payment must be made in US Dollars. Client will be charged any applicable conversion fees.

3. Cancelation & Refund Policy
In need of cancellation, 365 Travel knows that you – the clients – reserve the right to cancel the confirmed services. However, maintaining the born relationship with you is still vital for us. Therefore, we shall manage to reduce the costs arisen due to the cancellation. In worse cases, you are subject to any cancellation fees assessed by the suppliers of services including hotels or airlines used in the itinerary.

Cancellations of confirmed reservations will be charged $50 per booking as administrative fee. For booking with total amount less than $50, the equivalent administrative fee will be advised at the time of making reservation.

Any cancellations will be charged as the followings and the remainder will be refunded to you:
1. More than 45 days before departure: No cancellation charge except for administrative fee as stated above.
2. 45 to 30 days before departure: 10% of total tour cost and not less than administrative fee amount.
3. 30 to 15 days before departure: 25% of total tour cost.
3. 14 to 7 days before departure: 50% of total tour cost.
4. 6 to 0 days before departure: 90% of total tour cost.
5. No-show at the airport on the day of arrival/trip departure: 100% of total our cost.

•    Inevitable cancelation charge: flight tickets, cruise ship tickets, train tickets, and other pre-paid fees which have already been submitted will be added in addition to the above charges. Scanned copies of receipts will be provided upon request.

The refund will be made in 15 days of our receipt of your written cancellation request. Bank transfer fees, where applicable, will be added in addition to the above charges.

To begin a cancelation, an email stating your intent to your travel consultant or to Online@Bestindochinatour.net is required. Cancellation refunds will be calculated as of the date we receive your written cancellation.

4. Alteration of Itinerary
Clients’ making changes to itinerary can happen and is understandable. Alterations to the itinerary after reservation has been made will be handled on a case-by-case basis. We reserve the right to charge additional charges and/or issue discounts based on the requested alterations, the time they are submitted, and other circumstances that may arise.

5. Travel Document
All clients are required to possess a 6-months valid passport and necessary visas, and then are permitted to travel in other countries. At times, we assist clients out of good will with travel documents. However, 365 Travel and our consultants are not liable for any assistance provided in obtaining visas or travel documents that results in failure. Client is responsible to obtain and verify all legal information regarding travel documents from the applicable state department.

6. Health Requirement
Client is responsible to review the itinerary and determine if they’re in a healthy state to participate in the listed activities. 365 travel and our travel consultants are not liable for any health complications arising from the activities listed in the itinerary. It is the responsibility of the clients to advise regarding health related matters and to determine which activities are safe given their current health.

Before reserving an itinerary, the client is responsible to disclose any physical, emotional or mental conditions which may not conform to the health requirements necessary for the activities listed in the itinerary and to advise us of any necessary changes. 365 Travel reserves the right to decline any trip participant which may affect client’s health and safety, or the enjoyment of other clients.

7. Luggage Allowance
According to travel luggage requirements of local governments in the country/countries that you intend to travel, you can bring certain given weight of luggage by free of charge. Client is responsible for paying for any additional fees resulting from baggage in excess of the airlines allowed luggage weight and size.

8. Travel Insurance
Best Indochina Tour will carry out tour services after making sure you are properly insured. You are required to have purchased full coverage travel insurances before leaving your mother country to cover a wide range of unexpected loss and damages. Travel Insurance is not included in our tour cost.

9. Responsibility & Liability
All members of BestIndochinaTour.net are very pleased to serve for you. We will do our best to make your trip satisfactory during your tour. 365 Travel provides Indochina travel information and itinerary booking and all the information needed for you to well prepare for the journey.

However, the responsibility of 365 Travel is strictly limited, we shall not be responsible for unreasonable and negligent acts, omissions, or failure to act of any suppliers such as those of land, air, and water transportation, sightseeing excursions, cruise/hotel accommodations, or of any third party not directly owned or operated by 365 Travel.

We shall not be responsible for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, weather, fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond the direct control of 365 Travel.

365 Travel shall not be responsible for any personal valuable items stolen or lost during your trip.

365 Travel shall not be responsible for your failure to comply with customs regulations.

365 Travel shall not be held responsible for loss, death, physical harm caused to or any expenses incurred by passengers if they deviate from our original tour itinerary or group.

365 Travel reserves the right to make changes to accommodations, tours, and flights of equal value at any time. If we have cancelled any tour Itinerary prior to the commencement of the tour, 365 Travel is liable for a full refund of the money received by 365 Travel to the client. 365 Travel will do our best to adjust the itinerary according to your needs. However, 365 Travel is not responsible for conflicts resulting from hotels and transportation booked solely by the client that conflict with the itinerary such as airlines delays. 365 Travel’s maximum liability, for any reason, will be limited to the amount paid to us for the requested services.

365 Travel reserves the right to correct pricing errors at any time, or to increase the program price in the event of cost increasing due to changes in airfares, cruise fares, currency fluctuations, park fee increases, taxes, or fuel surcharges.

365 Travel reserves the right to vary sightseeing order if that will enable you to visit all listed excursions easily. In either case, the itinerary content will be maintained to the extent possible.

No refunds will be issued for unused portions of the trip or hotel in accordance with the times given in our cancelation policy.

Our representatives may provide help and advice. All activities are undertaken at your own risk. 365 Travel shall not be responsible for any actions or events that occur after its employees and agents have exercised their duty and taken the necessary care.

10. Guests with Disabilities/ Special Diets
Guests with disabilities are welcomed at 365 Travel. Any person requiring special services, assistance, equipment or accommodations must inform our sales at time of reservation. But in worse cases, we reserve the right to refuse requested accommodation if it is not readily achievable. Guests using wheelchairs must be accompanied by a companion during the journey.

If guests have special dietary needs, we must be required at the time of booking or latest 3 days before arrival at the airport.

11. Complaints & Claims
Whenever you feel unsatisfied with tour services of 365 Travel, please contact us or inform your local tour guide or your travel consultant immediately, in order to avoid other similar problems/situations happening again during your trip.

If you intend to request a claim for compensation, you must contact us by email, regular mail, or fax in writing 10 days after ending your tour for us to initiate the claim review. Please keep relevant receipts and substantiating evidence carefully and submit as requested. For any claims made later than 10 days after end of your tour, 365 Travel will not be liable to process the claim.

12. Modifications or Discontinuance of Service
365 Travel reserves the right to modify or discontinue the terms and conditions in whole, or in parts at any time with or without notice. Modifications or discontinuance of Terms & Conditions will not change any responsibilities arising out reservations made prior to the changes.
